Events Co-Chair

MINN is a volunteer led organization and our mission is made possible by the work of  dedicated, talented volunteers. Volunteering with MINN is a great way to meet fellow international practitioners, learn from your peers, and gain valuable experience and connections. 

MINN is currently looking for an Events Co-Chair. The Co-Chairs will have the opportunity to partner with existing volunteer leadership. Below please find descriptions of the two volunteer leadership opportunities:

Position: Events Co-Chair

  • Responsibilities: Events Co-Chairs manage MINN's programs throughout the year, including educational and networking events, Executive Roundtables, and Talk and Tours of local INGOs, largely through supervision of volunteers. Co-Chairs assist with the recruitment and onboarding of new volunteers. Co-Chairs serve as a liaison between the MINN Board and Events team volunteers. Events Co-Chairs will determine events of interest to the MINN community and ensure their promotion and execution.

  • Key Skills: Project management; event planning; familiarity with Google Drive; experience working as a member of a team; international development experience preferred.

General Requirements: All Co-Chairs will be expected to commit to a year's term and to attend monthly committee meetings, which take place on the third Wednesday evening of each month. Co-Chairs can expect to spend about 10 hours volunteering each month. Co-Chairs will work closely with and report to the MINN Program Manager.

Co-Chairs are well-placed to apply as MINN Board Members in the future if they are interested. Summit Co-Chairs

MINN is currently looking for Summit Co-Chairs and leads to advance volunteer programming for our Summit Conference in October, 2022. 

Being a part of the Summit planning team is fun and rewarding, below are descriptions of all the volunteer needs for the Summit Conference. 

This is a great opportunity to be involved in and network across the Twin Cities International NGO community. Additionally, it is a great way to gain conference planning experience, which in almost any job is invaluable. Our Co-Chairs often go on to serve as MINN board members and in executive leadership positions. 

Position (2 people): Summit Co-Chair

  • Responsibilities: Summit Co-Chairs oversee the planning of MINN's annual Summit conference, Thursday October 13th, 2022. This involves managing their team, overseeing their work (across the areas of speaker recruitment, marketing, logistics, registration, and more) as well as managing the event budget. Co-Chairs serve as a liaison between the MINN Board and Summit team volunteers. Summit Co-Chairs have the chance to contribute to and continue to grow an established conference of approximately 200-250 attendees, recognized as an important annual gathering of Minnesota's international development professionals.

  • Key Skills: Project management; event planning; familiarity with Google Drive; experience working as a member of a team; international development experience preferred.

Position (1 or 2 people): Sponsorship/Recruitment Committee (30-40 hours Total)

  • Create process for sponsorships recruitment 

  • Update prospectus to recruit monetary and in-kind donations

  • Reach out to local companies and organizations for sponsorship

    • Track all sponsorship progress

  • Coordinate with MINN treasurer and communications consultant to ensure sponsors receive the appropriate recognition and tickets (registration) based on the level of their sponsorship

Position (1 or 2 people): Marketplace (30-40 hours Total)

  • Ideally be available Thursday October 13th, 2022

  • Connect with previous founding organizations or existing organizations to invite them to take part in the marketplace

  • Set marketplace table cost based on industry research and past Summit pricing

  • Organize marketplace structure including: table layout, table tents and marketplace size

  • Assist with registration for all marketplace organizations 

  • Provide all marketplace organizations with day of instructions

Position (1 or 2 people) Proposals/ Review of Proposals (RFPs)/ Speakers/ Logistics (30-40 hours Total)

The majority of this role will be from May- September, with a little work communicating with speakers in October before the Summit

  • Develop/ Distribute RFP

  • Review/ Accept proposals

  • Develop schedule for the Summit (times of each presentation)

  • Communicate with presenters about times, rooms, speaking needs

  • Work with board of directors on finding keynote speaker(s)

  • Work with MINN treasure to determine and process the payment of keynotes speakers

  • Work with MINN Board and MINN communications manager to push RFPs via targeted emails and on social media platforms 

Position (1 person): Volunteer Recruitment: (20 hours Total) 

The majority of this role takes place in End of August, September and October 

  • Commit to day October 13th, 2022

  • Assess volunteer needs with Summit organizers

  • Recruit volunteers for day of Summit

  • Train volunteers for Summit roles 

  • Communicate with volunteers on times, location and volunteer role

  • Organize volunteers the day of the Summit

General Requirements: Summit Co-Chairs can expect to spend about 10-20 hours volunteering each month (Summit co-chairs can expect a busier peak as Summit approaches in the months of September and October, with a much lower time commitment after that). Co-Chairs will work closely with and report to the MINN Program Manager. Co-Chair positions are for a one year term with consideration for renewal on an annual basis.
